For this case study, imagine you work for a large health services employer in the county. You have recently been appointed to serve on the organization’s Wellness Committee. At the first meeting, committee members discuss ways to improve the health and overall wellness of employees in the organization. Many suggestions are offered and the group begins to craft a plan for what to implement, when it will be implemented, why it is important, etc.

The Chair of the committee, however, responds that a full report will need to be developed to present to management. This report has two overarching aims: 1) to seek approval for a set of wellness activities and 2) to request resources to move forward with the committee and its activities. This report also needs to be provided to the staff of the organization to elicit buy-in and participation. In this week’s class discussion we will continue the dialogue of the Committee, exploring how this report should be developed and disseminated.

In this week’s class discussion we will continue the dialogue of the Committee, exploring how this report should be developed and disseminated.

1. The first question is based on what you have learned so far this term:

We so often write in one voice, despite the audience. In this scenario, you are asked to consider two audiences – the management and fellow staff. Based on what you have learned so far this term, what are the risks and/or benefits of creating the same report for both audiences?

Now applying your readings to the remaining questions:

2. When putting together a report asking for resources to implement the committee’s activity plans, what strategies would work best with managers? What data would you want to include?

3. What might be different in our report in our effort to persuade staff to use the wellness resources and engage in the activities? What information would you include in the report to staff?

4. What might be some challenges to meaningfully applying the writing process to writing a report as part of a group, such as this committee? What might be some of the advantages?

Learning Objectives
Identify the basic components of a business process diagram.
Reflect on a business process and identify the actors and actions in said process.
Apply business process modeling concepts to the development of a digital visualization of a process in Lucidchart.
What is BPM?
A BPM is a “business process model”. In short, this is a way for you to document how your business is currently going about a process so that you can look for opportunities to improve upon the said process.

With the combination of people, processes, and technology, there is an opportunity to visually document what is going on through the use of a modeling tool, like Lucidchart, so that discovery, analysis, optimization, and automation can be considered to increase the likelihood of operational excellence for a component of the business.

Why use a BPM?

A business process model aims to convey a process through an easy-to-understand visual representation. Its main audience is the individuals that are involved in the process, as well as those that may modify and implement a new and improved process.

A diagram can be easier to understand than a narrative of text can be. Developing a business process model allows you to better communicate and collaborate with stakeholders that are impacted by a process.

Below is a sample BPM:

Swimlane for customer process.

(Lucidchart, 2020 (Links to an external site.))

The business process model above showcases the flow of a process, and who is involved as the process starts and finishes.

How do I make a BPM?
There are different types of BPMs, but for this assignment, you will make a BPM called  “Swimlane Diagram” (the same as the example above).

To make one of these, you’ll need to consider the following before getting started:

What process do I want to visualize? (E.g., sales, returns, shipments, student enrollment, etc.)
Who is involved in the process? (E.g., customer, sales team, management, credit card department)
What does each person in the process do? (E.g, purchase product, fill out credit form, complete an order form, etc.). Once you know this, you’ll know what goes in each of the ‘lanes’ of a swimlane diagram (each lane is what that person does).
In what order does each person do their piece of the process? (E.g., the customer selects a product, then goes to the register, then gets charged)

What about the symbols?
We’re not going to go into intermediate and advanced flow-chart symbols for this assignment, rather we are going to focus on the following four basic symbols:

The Oval
Terminator Symbol

Also known as the “Terminator”.
Indicates the start and end of a process.

The Rectangle
process rectangle

You’ll be using this the most.
It represents any step that you are diagramming - it captures the process steps (basic actions and tasks in your process).

The Arrow
arrow.PNG

It is used as a guide for directional flow.
It tells the reader what is coming next.
I recommend sticking with the same type of arrow throughout the creation of the flow-chart (there are many to choose from).

The Diamond
Decision Symbol

It indicates that a decision is required to move forward.
This can be binary (meaning this or that) or could have more than two choices.
With the four symbols above, you are well equipped to make a basic swimlane diagram (and colors do not matter for the assignment).

What do I need to do for this assignment?
I would like for you to pick a business process that you have been part of at some point in your life and document how you think it works from start to finish. We’ve all been involved in business processes, even if we have not realized so. Remember that last time that you went to a grocery store? You were part of a business process. Remember that last time you bought something on Amazon? You were part of a business process.

Write a brief narrative on what the swimlane process conveys (tell me what the business process is for) - 3-5 sentences. The brief narrative should tell me the following:
Who is in the process?
What is the process for?
Develop a swimlane diagram for a business process.
3-7 actors (the swim-lanes)
10-20 steps in the process (the rectangles)
1-3 decisions (the diamonds)

Formatting Your Assignment
Consider your audience – you are writing in the role of an MTC business analyst and your audience is MTC and your boss, the CIO.  Don’t discuss MTC as if the reader has no knowledge of the organization.  Use third person consistently throughout the report.  In third person, the writer avoids the pronouns I, we, my, and ours. The third person is used to make the writing more objective by taking the individual, the “self,” out of the writing. This method is very helpful for effective business writing, a form in which facts, not opinion, drive the tone of the text. Writing in the third person allows the writer to come across as unbiased and thus more informed.

•    In Stage 3, you are preparing the third part of a 4-stage report.  Use the structure, headings, and outline format provided here for your report.  Use the numbering/lettering in the assignment instructions as shown below.
III.    Requirements
A.    Stakeholder Interests
B.    Defining Requirements

•    Begin with Sections I and II, considering any feedback received, and add to it Section III.
•    Write a short concise paper:  Use the recommendations provided in each area for length of response.  It’s important to value quality over quantity.  Section III should not exceed 3 pages.
•    Content areas should be double spaced; table entries should be single-spaced.
•    To copy a table:  Move your cursor to the table, then click on the small box that appears at the upper left corner of the table to highlight the table; right click and COPY the table; put the cursor in your paper where you want the table and right click and PASTE the table.
•    Ensure that each of the tables is preceded by an introductory sentence that explains what is contained in the table, so the reader understands why the table has been included.
•    Continue to use the title page created in Stage 1 that includes:  The company name, title of report, your name, Course and Section Number, and date of this submission.
•    Use at least two resources with APA formatted citation and reference for this Stage 3 assignment.  Use at least one external reference and one from the course content. Course content should be from the class reading content, not the assignment instructions or case study itself.  For information on APA format, refer to Content>Course Resources>Writing Resources.
•    Add the references required for this assignment to the Reference Page.  Additional research in the next stage will be added to this as you build the report.  The final document should contain all references from all stages appropriately formatted and alphabetized.
•    Running headers are not required for this report.
•    Compare your work to the Grading Rubric below to be sure you have met content and quality criteria.
•    Submit your paper as a Word document, or a document that can be read in Word.  Keep tables in Word format – do not paste in graphics.

Suppose you are a human resource professional helping to improve the performance management system of a company that sells and services office equipment. The company operates a call center that takes calls from customers who are having problems with their equipment. Call center employees are supposed to verify the problem is not one the customer can easily handle (for example, equipment that will not operate because it has come unplugged). Then, if the problem is not resolved over the phone, the employees arrange for service technicians to visit the customer. The company can charge the customer only if a service technician visits, so performance management of the call center employees focuses on productivity – how quickly they can complete a call and move on to the next caller. To measure this performance efficiently and accurately, the company uses electronic monitoring.

1, How would you expect the employees to react to the electronic monitoring? How might the organization address the employees’ concerns? (25 points, 1 page, double space)

2. Besides productivity in terms of number of calls, what other performance measures should the performance management system include? (25 points, 1 page, double space)

3. How should the organization gather information about the other performance measures? (25 points, 1 page, double space)

Use the readings and resources provided in our online lecture, book, and reputable sources found on the Internet to support your viewpoints. Be sure to use your own voice in your answers. Simple copy and pastes will not be accepted. Be sure to site all sources referenced by using APA guidelines.
