  • Memo writing entails keen and proper writing in a simple version to communicate its contents to the intended audience. The message must be clear, brief and directed directly to the audience with no jargon in it. For clarity and clear readable work, I propose that the paragraphs should bear 2.0 spacing. In my changes, I will utilize times Ariel font, but the font must be 13.0 to 13.5. This will ensure that the memo’s wording is readable at some distance of approximately two meters. Since many memos’ entail sticking or pinning on the notice boards where people will be passing and read while standing. The introductory paragraph instead of meandering or being wordy should be to the point in stating and explaining briefly what the content of the memo. This paragraph should not be long but short about 5 to 7 sentences.
  • Body paragraph(s):
  • Each paragraph should comply with the initial stated word font and body size all throughout the memo body. Each paragraph from the previous paragraph should have spacing of two which will enable any person in hurry will not strain while reading. The paragraphs should have each explaining different topics according to the information addressed to the audience. The length of the paragraph in the body may exceed the introductory paragraph with a maximum of three sentences to minimize wordiness. Currently, some memo writing methods may propose due to the information or message addressed to the audience, one paragraph can have either two or three ideas. This will not have its clear meaning but result to confusion and lack proper emphasizes especially to the weighty matters. In this regards, my format will entail each topic or idea have its own paragraph. At sometimes, if possible especially in engineering sectors or manufacturing industries the communicated ideas can assume the trend of having each a title. This ensures that at a glance, what the memo is all about and the specific item required or referred. Hence, making clarity easy and better understanding of the message. Indentation will not have any purpose since the titles will serve the concept of easy readability and clarity. Capitalization of both scientific and other English words as specified by grammar will remain. In case of any list, number bullets will be best suited since they do increase visibility of the main points by separating them from the main text. In portraying figures concerning cash, they should be in numbers since this will reduce the wordiness and for easy visibility.

For example, use of the recent Microsoft offices assists in making quick and presentable paperwork.

  • According to the new textbook, there is a need to make a strong management staff and subordinate staff for the benefit of the organization. The office of the management ought to implement quality services program that would provide the means to achieve set strategic goals. In Oder to accomplish the goals of the firm, the management and board of governors has the obligation to choose a competent manager. A competent manager refers top the one with the ability to implement the strategic tools in the firm. The manager who is able to organize the employees and is in control of every program that takes place in all departments.
