Effectiveness of email

Email

Following the challenge of employee exhaustion and increased errors in the ordering system related to increased inflow of customers, a need for adopting a computer ordering system. The system will address the issue of employees’ exhaustion and increased errors in customers’ orders.   For the purpose of introducing the electronic ordering system, all managers are required to be focused on how it will work effectively. Given the increased number of customers, it is necessary to understand the consequences of not addressing the increased employee exhaustion that has led to increased mistakes in product preparation. Failure to address the customer problems will turn away the customers and this can hamper the growth momentum currently being experience. Hence everyone should take up the responsibility of facilitating the new change. Every manager is expected to create a team consisting of members from all the sections of the shop and the members of the team should be selected by the section members.  The teams at every shop will share information on progress and challenges being experience in the implementation of the new system so that to achieve a common sense of purpose. Any challenge encountered will be shared and solved at the group level for better decision making.

The aim of introducing the computer system is to improve the working environment for employees and ensures that services delivery is improved. This will ensure a continuous growth for the business and with better performance of the business; it will be possible to improve the welfare of all the stakeholders. The managers of the shop will communicate this vision to all employees especially those involved in implementation of the new ordering system. For effective adoption of the system, the managers of the shops will ensure that any hindrance is eliminated as much as possible so as to allow the process flow smoothly. This includes employees or supervisors that will prevent others from accomplishing their jobs in the implementation process.

Any structural arrangement in the job that may prevent people from adopting the new ordering system or hinder the alignment of the system to the product preparation should be communicated and eliminated immediately.  The success of the new system will evaluated within two months, where reduced order mistakes, time and employee effort will be reviewed. Rewards will be issued to those individuals who will have ensured the achievement of these short-term goals.  An evaluation is expected on the performance to establish any hitches in adopting the technology and taking corrective measures to improve the system and re-introduce the change in other new shops.  Finally, the change will be made a key ingredient in the operation of the form so that use of technology can be used in all sections including the ordering of materials. Technology will therefore, become part of employee efforts in operations of the business.

Effectiveness of email

Email is an effective channel for sending this kind of information to all the locations of the shop. Email makes it easier to compose and send a message regardless of where the client is situated and allows for quick feedback on the same.  The email can be discussed and adjusted before the location managers can send to other employees. A major pitfall of Email is that information may be misunderstood in case messages are not properly constructed (Annan-Prah, 2015). This can be avoided if one takes time to review the message before forwarding it to the intended recipient.
